Objective
You will practice drafting three professional business outreach emails (cold, warm, and referral) to demonstrate your understanding of different outreach approaches. This assignment is designed to mirror how you will communicate with actual clients and partners on behalf of RSS. Over time, you should build the confidence to send out emails, proposals, etc., with little to no management oversight.
Instructions
- Write Three Emails
- Cold Outreach Email – Contacting someone with no prior relationship.
- Warm Outreach Email – Following up after a prior interaction or with someone familiar with RSS.
- Referral Outreach Email – Reaching out based on a recommendation or introduction from a mutual contact.
2. Send Your Drafts as Real Emails
- Send each draft as a separate email to:
HRTalentRodgers@gmail.com (HR Training Account) and BCC the HR department email: HR@RodgersSecuritySolutions.com. - Use a professional subject line for each (e.g., “Cold Outreach Draft – [Your Name]”).
- Write the message in the body of the email — do not attach documents.
3. Formatting Requirements
- Each email should have a professional subject line
- Start with a professional greeting (e.g., “Hello, Ms. Smith,”).
- Write 2–3 concise paragraphs, no more than 200 words per email.
- End with a professional closing and your name.
- Include a simple signature block (e.g., “John Doe | RSS Recruiter Trainee”).
4. Submission Deadline
All three emails must be sent by Sunday at 5:59 pm PT of Week 1.
Late submissions will impact your readiness score.
Do not attach documents—your drafts must be written as if you are sending them to a real prospective client.
Your drafts should reflect your own words and the tone of RSS’s professionalism.
Evaluation Rubric
Criteria | Excellent (10 pts) | Satisfactory (5 pts) | Needs Improvement (0 pts) |
---|---|---|---|
Subject Line | Clear, professional, matches outreach type | Basic but acceptable | Unclear or unprofessional |
Tone & Formatting | Polished, respectful, client-ready | Adequate but could improve | Unprofessional or sloppy |
Message Content | Demonstrates full understanding of outreach type | Partially accurate or incomplete | Misunderstood outreach type |
Clarity & Grammar | Error-free, easy to read | Minor errors but readable | Frequent errors, unclear |
Key Takeaway
This exercise is not about copying templates — it’s about training yourself to write like a professional. Every outreach email you send in this program should be written as if it’s going directly to a real RSS client.
